Executive Administration Manager (m/f/d) in Berlin

Direct report: Group CEO

YOUR MAJOR RESPONSIBILITIES

As our Executive Administration Manager (m/f/d) you act as gatekeeper for the Group CEO by screening the phone calls and letters, and taking messages. You will make travel arrangements, plan meetings and attend them to record detailed meeting minutes in English, and compile data that the Group CEO requests. You proofread and write correspondence and other business documents by other C-Level executives, and distribute memos or other written communications to the organisation.

Your social perceptiveness helps you to glean information from people and motivate others to action. You will be the “eyes and ears” of the organisation. Good organizational and time-management skills are needed because you will juggle several tasks at the same time and may need to self-prioritize what is most important for the company and the CEO. You need excellent computer skills and you should be experienced in creating presentations that not only look good, but are simple and effective.


  • You are leading a small team of Office Managers in Berlin, Warsaw, and Zielona Góra
  • You will be required to hire, train, and motivate subordinate administrators and office managers
  • You prepare presentations for the group CEO and be able to organize and present data effectively
  • You will be on occasion support the Chief People Officer ( CPO ) to do work in the Human Relations department as needed
  • You manage tasks related to Corporate Social Responsibility which is ultimately lead by the Human Relations area
  • You organise all contracts, and important legal documents for signature and in some cases you will have the power of attorney to sign them on behalf of the CEO
  • You positively work with managers, executives, technical staff, and blue collar workers at all levels of the organisation, which require you to have excellent interpersonal skills


Voraussetzungen

COMPETENCIES FOR SUCCESS

  • You have 8+ year’s experience in leading people in multinational companies
  • You have a very good understanding “how companies operate”
  • You are a solid communicator and able to explain complex topics in a simple easy to grasp way
  • You are fluent in Business English
  • You are well organized, energetic, creative and a structured thinker
  • You are able to perform in a fast-paced environment and have excellent time management skills
  • You have the ability to perform multiple tasks independently with an expert level of prioritization skills
  • You have strong PC skills, including creating presentations in Power Point and Prezi
